About the People Services Assistant Role:
The People Services Assistant will provide first-class, proactive HR administrative support, to everyone within Pearson Technology across the US. To ensure that all administrative HR activities are processed accurately and effectively in a timely manner and to provide assistance to members of the People Team.
Responsibilities
Main activities/responsibilities:
Maintain new hire and termination processes
- Prepare offer letters and create personnel files. Monitor acceptance
- Update database with returned documents and complete new starter checklist.
- Complete background checks and references as required
- Coordinate new hire onboarding and collection of required paperwork
- Maintain required documents and files (electronic and paper)
Payroll Administration
- Process pay adjustment forms and manual check requests as needed
- Assist with processing of promotions and other adjustments within applicable deadlines.
Maintain Accurate Data
- Maintain org charts
- Audit data for accuracy as required
- Update Oracle with all changes to employee's status, hierarchy changes, change in hours etc
- Download reports as and when requested
Learning & Development
- Arrange quarterly lunch n' learns and book catering, equipment etc
- Book training courses upon request
- Deal with ad-hoc training enquiries
- Log the return of annual and interim appraisal process - ensure we monitor the training needs and grades
Continuous improvement
- Review continuously with colleagues more efficient ways and methods of undertaking processes and systems
- Provide excellent customer service to meet the requests of our customers
Customer Service
- Build and maintain effective working relationships at all levels with regular face to face, email and telephone communication
- Answer telephone calls promptly ensuring adequate telephone coverage during the day
General Administration
- Take minutes at meetings as required
- Schedule meeting rooms as needed both locally and nationally.
- Generate all correspondence as required
- Process and track incoming invoices, ensuring timely payment to vendors
- Open & distribute daily mail
- Overseeing office supply inventory
- Assisting the People Team with any ad hoc administration
- Archiving
- Maintain efficient and organised filing systems - digital and hardcopy
Qualifications
Person specification
- Minimum 3 years of administrative experience required, HR Admin experience preferred.
- Excellent communication skills both verbal and written,
- Excellent customer service focus, excellent listening skills, pragmatism
- Excellent attention to detail
- Very good organisational skills
- Able to work both independently and as part of a local and international team.
- Flexible can do attitude
- Enthusiastic, energetic and positive.
- Methodical approach.
- Personable with the ability to communicate at all levels.
- Trustworthy and discreet where dealing with confidential information
- Awareness of, and able to work to and meet deadlines
- Computer literate with good working knowledge of Microsoft Office Outlook, Word, Excel, and PowerPoint
