Job Description

Job Summary: SmartPay is a cloud-based storage shed Rent to Own provider, we partner with retail lots on acquiring customers and manage the accounts at the business office in Leola PA. This job entails working with the fast-growing entrepreneurial SmartPay Team. You will work with the team as the office admin helping the CEO bring the office together. You will manage accounts and collections which involve communicating with the customer via, phone, email, etc to manage their accounts and collect payments. You must enjoy and be able to create and adapt to evolving systems.

This job combines roles in Office Admin, Accounts and Collections Manager, and Bookkeeping

  • To achieve the desired goals of the company and create wins for our dealer, customers, team, and the company.

Office Admin

Must be willing to learn, proactive thinker, forward planner, self-motivated

Possess excellent organizational skills, superior customer service skills and exceptional people skills

Be accurate, detailed oriented, and organized and keep the files, documents tidy and in order for easy access when needed

Follow the company systems, processes, guidelines, and expectations

Pleasant phone demeanor, professional, courteous, polite, and congenial and ability to stay cool, calm, and collected under pressure

Accounts Manager

Accurate data entry of payments, missed payments, payment information, customer notes, accounting data, and any other information that pertains to the customer into the SmartPay online database.

Monitor payments and follow up on missed or late payments

Make welcome calls to all new customers

Answer the phones, follow up on phone calls, voice messages, and e-mails

The ability to manage 600+ contracts effectively and efficiently.

Collections Specialist

The collections specialist is responsible for handling collections efforts after initial attempts have been made to follow up on missed or late payments. The collections specialist ensures diligent efforts are made to collect all past dues in accordance with company and legal guidelines.

Contact customers regarding overdue accounts and determine reasons for non-payment

Manage relations and maintain records of customers that have past due accounts

Resolve service problems by clarifying the customer's complaint, determining the cause of the problem, selecting and explaining the best solution to solve the problem and following up to ensure resolution

Contact dealers to co-ordinate property pickups

Bookkeeper

Assist Senior Accountant with weekly dealer payments, information and prepare reports as needed to assure that payments are made within 5 business days of building delivery.

Review and enter vendor bills into Quickbooks weekly for payment

Record customer payment receipts and deposits into Quickbooks

Accurate data entry and accounting of Accounts Payable, Bookkeeping, Customer data.

Assist with other bookkeeping and accounting tasks as requested

Additional Responsibilities

Assist with conducting periodic reviews of all transactions and customer accounts to ensure their accuracy

Provide information to management

Assist the management team as requested

Job Qualifications:

Associate's degree in Business preferred

2+ years of relevant experience in an entrepreneurial business

Proficiency with MS Word, Excel, Quickbooks

Proven ability to communicate clearly and concisely, orally and in writing

Proven ability to work effectively to meet goals and deadlines with minimal supervision

Must be detail oriented

Professional and friendly attitude

Working Conditions: Primarily in an office environment. Some work can be done from home - minimal. Periodic weekend and/or evening work is expected.
