Our client is seeking an enthusiastic and committed Executive Assistant who is fluent in both English and Italian. This role offers a unique opportunity to support the Director and Alternate Director of a prestigious international banking organisation. The successful candidate will be responsible for ensuring the smooth running of the Constituency Office, providing administrative and secretarial support, and handling relations with authorities, business community and staff in a multicultural setting. This role requires excellent organisational skills, strong interpersonal communication, and the ability to adapt to change positively.

What you'll do:
As an Executive Assistant, you will play a crucial role in supporting the Director and Alternate Director. Your day-to-day responsibilities will include managing diaries, arranging meetings, dealing with visitors, making travel arrangements, handling expense records, drafting correspondence, monitoring communications with capitals, preparing for Annual Meetings and other major events. You will be expected to handle these tasks efficiently while maintaining a positive attitude towards change.

. Provide administrative and secretarial support to the Director and Alternate Director
. Ensure the smooth running of the Constituency Office
. Handle routine administrative business of the office efficiently
. Manage diaries; arrange internal and external meetings; deal with visitors
. Make travel arrangements, hotel reservations, and arrange visas as required
. Deal with expense records for Constituency budget purposes
. Draft routine business correspondence as required
. Monitor communications with capitals and ensure Constituency requirements are being looked after
. Prepare necessary preparations for Annual Meetings and other major events

What you bring:
The ideal candidate for this Executive Assistant role will bring proven secretarial or administrative experience along with fluency in both English and Italian. They will have excellent organisational skills with the ability to work on their own initiative. Their computer literacy should extend to MS365 Teams, Microsoft Outlook, Word, Excel, PowerPoint and SAP. They should possess excellent communication skills in both written and spoken forms. Experience in dealing with other institutions and the business community, along with diplomatic skills and protocol experience to handle relations with authorities, will be highly beneficial.

. Proven secretarial/administrative experience
. Fluent English and Italian, both written and spoken
. Excellent organisational skills and ability to work on own initiative
. Good typing skills (55 wpm)
. Computer literate: MS365 Teams, Microsoft Outlook, Word, Excel, PowerPoint and SAP
. Excellent communication skills, both written and spoken
. Experience in dealing with other institutions and the business community
. Diplomatic skills and protocol experience to handle relations with authorities
