Executive Assistant (Full Time)

Seeking a professional and organized Executive Assistant that will provide full administrative support to the President.

Essential Functions

      • Provide administrative support to the President, including calendar management, taking meetings minutes and following up on actions, ensuring the implementation of policy decisions or strategies; provide processes, commitment, and influence to promote operational efficiency; maintain flow of information and work into and out of the President's office on strategic initiatives, leadership issues, and day to day workflow.
      • Coordinate team meetings including standing meetings throughout the year, as well as additional meetings that may occur. Will have involvement in coordination of management updates and any other large scale management and employee meetings.
      • Ensure President is prepared with materials, logistics information, and advanced briefings as appropriate, for all meetings.
      • Keep meeting minutes, provide reminders to attendees in advance of meetings and action summary post-meeting, manage the quality of content for the meeting agendas as well as presentation flow, timing, technology, etc.
      • Board of Directors: Through the guidance of the President, be the primary point of contact for Board of Directors on administrative matters.
      • Ensure Board packets are complete, reviewed by President and sent out according to schedule.
      • Ensure accurate meeting minutes are recorded and posted on time.
      • Plan/manage and take minutes for Board committees.
      • Plan/manage annual management planning activities and meeting.
      • Plan/manage annual Board planning session.
      • Compile strategic plan information, follow up on outstanding actions and deliverables, and create full strategic plan packet for President at conclusion of process.
      • Coordinate Board-related special project or events as needed.
      • External meetings, committees, boards, etc.: manage President's calendar to always have an awareness of upcoming meetings, activities and due dates for external organizations. Develop a system to ensure President is well-versed and prepared for all.
      • Maintain President's bio and complete list of all boards and committees.
      • Research and book travel for President to ensure efficient travel arrangements that also support and align with travel requests and needs. This includes flights, hotels, ground transportation, internal travel specifics, etc. Ensure President is well-prepared for meetings she will be attending at destinations, including detailed knowledge of all logistics.
